18 Holer Golf Association Job Descriptions
BOARD MEMBERS:
Shall start terms in December and attend all Board and General Meetings.
CHAIRPERSON:
Shall meet with Vice-Chairperson and Secretary/Treasurer to select chairperson for Standing and Special Committees.
Shall fill vacancies when necessary.
Shall represent, or appoint a representative of the 18 Holer Association to the PLCC Golf Committee.
Shall represent 18 Holers in the Exchange Day program with other clubs and host PLCC's Play Day.
VICE-CHAIRPERSON:
Shall in the absence of the Chairperson, preside at all meetings and perform such duties as necessary.
Shall be Tournament Chairperson in charge of all tournaments approved by the Executive Board with the exception of the Ladies' and Senior Ladies' Club Championship and the Member/Guest Tournament.
Shall present the budget and dates for each tournament for Board approval.
Shall have tournament dates approved by the Golf Committee.
Shall be responsible for tournament publicity.
SECRETARY/TREASURER:
Shall keep minutes of Board and General Meetings.
Shall present a report of all actions taken by the Board or General Meeting to the membership.
Shall present a written report of the projected budget at the Spring General Meeting.
Shall present a written Treasurer's Report showing all receipts and disbursements at the Fall General Meeting.
Shall keep a record of people joining the Association and keep the Weekly Events Chairperson informed of member of good standing.
Shall create a membership roster to be distributed to all members in good standing.
Shall disburse money as directed by the Board in accordance with the budget.
WEEKLY EVENTS CHAIRPERSON:
Shall present a budget for Board approval.
Shall set the format of play for Weekly Play Days.
Shall post a handicap Division Sheet each month.
Shall notify the Pro Shop of members in good standing to be posted to their computer.
Shall post winners of Play Days, as soon as possible.
Shall, at the Fall General Meeting, award prizes for Weekly Events, Birdies, Ringer Cards, Most Improved Player, and State Play Day winner.
MEMBER/GUEST CHAIRPERSON:
Shall present date, budget, and format of play for Board approval.
Shall be responsible for tournament publicity.
HISTORIAN CHAIRPERSON:
Shall present a budget for Board approval.
Shall take pictures at all 18 Holer events, or have a representative do so.
Shall be in charge of the yearly photo album and scrapbook.
RULES CHAIRPERSON:
Shall appoint two people to serve on the Rules Committee.
Shall keep membership informed of any USGA Rules changes.
Shall work with the committee and, with the guidance of the Pro Shop, to settle any rule dispute within the Association.
Shall be the Handicap Chairperson for the 18 Holer Group.
HOSPITALITY CHAIRPERSON:
Shall present a budget for Board approval.
Shall be responsible for sending cards in the case of sickness or death to a member or a member's immediate family.
Shall contact any new PLCC member and extend an invitation to join the 18 Holer Association.
Shall assist new members in understanding procedures for Weekly Events and Tournaments, and if possible arrange for members to play with new members.
INTERCLUB CHAIRPERSON:
Shall present a budget for Board approval.
Shall notify eligible members of play days.
Shall be responsible for publicity.
Shall be responsible for hosting an Interclub Match in rotation.
DISTRICT CHAIRPERSON:
Shall present a budget for Board approval.
Shall notify eligible members of play days.
Shall be responsible for publicity.
Shall host PLCC's play day.
ADVISOR:
Shall be the immediate past Chairperson of the Association.
Shall be advisor to the current Chairperson and Board.
Shall have a voice but no vote.
18 Holer Golf Association Operating Guidelines
Dues: $70 membership fee qualifies one for Weekly Events, District, Interclub, Exchange Day, all 18 Holer sponsored tournaments and State Play Day. This money pays Weekly Event Flight winners, Ringer and Birdies winners; supports all tournaments (Spring and Fall Member-Member, Member-Guest, President's Cup, Turkey Scramble); supports Pro-Lady tournament, and provides refreshments for Opener and Year End Meetings.
Weekly Events Logistics: These events normally are scheduled for Wednesday mornings, but there are a couple of weeks where play has been moved to Tuesday to accommodate an outing. Please check the Weekly Events Tab for the day and the type of event for the week. Please call the Pro Shop by 4 pm on Tuesday before play to sign up. The Pro Shop will put the teams together so please be at the Pro Shop each morning at 9:00 to be ready to tee off at 9:15.(Special note:for the month of March, meet at the pro shop at 9:45 to begin play at 10:00). The event being played is listed under the Weekly Events tab under the 18 Holer tab. On the Wednesday when an Exchange Day is hosted, there will NOT be a Weekly Event scheduled at Pine Lake to encourage participation in the Exchange Day Event.
Winners of the Weekly Events are awarded by flights according to handicap and the flights are posted on the bulletin board in the Ladies' Locker Room. Flighting of members will be done by the Weekly Events Chairperson using current USGA handicaps. To make flights as competitive and equitable as possible, firstconsideration shall be given to the minimum spread of handicap strokes in each flight. These will be awarded at our year end meeting.
Awards for flights will be given for flight played most often.
A Play Day will be official only if a minimum of four (4) participants play 18 holes. Five or less players will play a low net format with one winner. If six play, the predetermined event will be played.
You must have an established 18-hole handicap to be eligible to win prizes.
If you are unable to complete 18 holes because of bad weather, you may still post ringers and birdies.
The maximum allowable handicap is 40.
Record actual score for holes that count on a Play Day, then adjust for posting.
On holes that count for a Play Day, all putts must be holed out.
To qualify for Weekly Play Day awards, you must turn in properly completed score cards to the basket in the Ladies Locker Room.
Pace of Play: Each round of golf should be completed in 4 1/4 hours or less. To make rounds enjoyable for all players it is critical for each group to be aware of their own pace of play. Scorekeepers please record the time your group teed off, the time your last player putts out and the total time of your round. We will monitor the time of rounds to be certain we are staying within the 4 1/4 hours. Keep pace with the group in front of you. Should you become more than a hole behind, pick up the pace by playing ready golf, immediately move to your ball after the competitor has played rather than watching her shot, and hold conversation until you have caught up with the group in front of you.
Other Year-end Awards: The awards given at our year end meeting are Birdies, Ringer Gross, Ringer Net, and Most Improved. These are in addition to paying out the weekly event winners and are defined below.
Birdies: When a member birdies a hole, this must be recorded by her in the Birdie book in the Ladies' Locker Room. Birdies are awarded by flights; the person with the most birdies in each flight will be the winner.
Ringer Gross: Ringer cards are in the locker room.On your first day of play circle your gross score for each hole. Each Play Day thereafter, circle the score on the holes on which you improved. There will be one ringer winner for each flight.
A player will be eligible for only one award, Birdie or Ringer.
Most Improved: Most Improved Player is determined by the difference of handicap on December 1st and handicap on November 1st figured according to the Golf Digest Formula.Ten (10) Play Day rounds must be posted.An 18 hole handicap must be established by December 1st to qualify.
Tournaments: The tournaments sponsored are the Spring Member-Member, Member-Guest, Fall Member-Member, President's Cup and Turkey Scramble.The pro-lady is supported by our group. The Spring and Fall Member-Member tournaments are each two day events made up of two women teams all of whom are members of this organization. The Member-Guest is a one day tournament whose team can be two members and two guests, or one member and three guests. The President's Cup is a bracketed event with individuals playing other members and progressing through the ranks until one woman is declared the winner. The Turkey Scramble is a one day tournament for members of this organization
One quarter (1/4) of the field will be awarded prizes for tournaments.
No member of the 18 Holer Association of PLCC can be a guest in the Member/Guest Tournament.
You must be 50 years of age to play in the Senior Tournaments.
Ladies, 18 years of age or older, who have not paid the Activities Fee may enter any tournaments for a fee set by the board.In 2010, this fee is $25. However, they will not qualify to participate in regular Play Day events. Must have 18 hole handicap to qualify.
There are other Ladies' tournaments at Pine Lake which are not sponsored by this association such as the Ladies' and Senior Ladies' Championship and the Ryder Cup event. These are governed by the Golf Committee.
Exchange Day: This is a new program in 2010. In conjunction with area clubs (Providence, Ballantyne, Raintree, Cedarwood, Firethorne, and Piper Glen), we will visit the hosting club to participate in their event. To participate in Exchange Day, you must sign up one week in advance by emailing or calling Jill Andrews (jillandrews@carolina.rr.com or 704 846-6701). She will prepare a roster for the hosting club. The price for these events includes light breakfast before play, snack during play and a lunch after play, and prizes. The cost generally is between $30-40.Jill or her designee will prepare one check for the hosting club. If an Exchange Day is scheduled on a Wednesday, there will be no Weekly Event scheduled at Pine Lake. Pine Lake will host this group on November 3.
Use of Special Tees: Under certain circumstances, players are unable to play competitively from the normal red tees designated for ladies. Ladies can petition the 18 Holer Board to be allowed to play from tees designated as "Junior Tees". If approved, the member will be allowed to play from the Junior Tees and given a special maximum handicap of 14 strokes. This is 1 stroke for each par 4 and 5 and NO strokes for the par 3's. This handicap can decrease based on the player's actual scores but can never go higher. To be allowed to play from these tees, one should apply to the 18 Holer Board and describe in detail the reason for requesting this exception. The decision of the board will be final. Each tournament will define whether all must hit from the red tees or if the Special Tees will be allowed.
General Information: USGA Rules apply to all play with local rule exceptions. Suggestions or concerns are to be brought to the attention of the appropriate Chairperson.
You must post all 18 hole scores you play – home and away.
You must post a score when you play at least 13 holes. On the holes you do not play, record a par plus any handicap strokes you would have received on that hole.
